Follow should be taken into consideration: CRU REDCap Usage and Fee Policy:

  • Effective 1 January 2018 a new annual project administrative fee of $250 per project per year will be implemented to cover costs associated with data backup, system administration, system monitoring, system maintenance, system recovery during weekly IT patching, technical support as a result of unplanned outages, management of planned outages and other Clinical Research Unit (CRU) staff support activities that support the management of REDCap. This fee does not include any technical support for investigators that require assistance with their database.

  • Each REDCap user can create an unlimited number of test projects (Project Purpose set to "Practice/Just for Fun"). These records must not contain real data or be used for any research purpose. These test projects will expire after 60 days. There will be no fee for these projects.

  • The user must request to move their research projects from Development status to Production status before collecting real data. A CRU REDCap Administrator will delete all the test data when moving a project into Production. The user must thoroughly test their project before moving to production. The CRU will not be able to recover any real data that was not collected in a Production environment.

  • Before starting the development of a project the project administrator must provide the start date and estimated end date. Additional information that will be requested includes ethics numbers and fin codes. Ethics numbers are not required to move to production. The CRU will only use the fin code to create an invoice and GLJE for the recurring $250 project fee. The CRU will not use the fin code for any REDCap-related services until we have approval from the project owner. If you do not have a research account, you can contact the CRU about different payment methods.

  • Basic REDCap support services for database development rendered by the CRU will be charged at the rate of $125/hour for UofC faculty. Basic REDCap support includes any work that uses the existing features of REDCap for building a database excluding the use of the API, or Text Messaging. Projects that require custom work should contact the CRU to discuss costs. Custom work includes any task that requires external connections through the API and the technical development solutions that cannot be resolved through the existing features available in the tool. A minimum charge of 1/2 hour per incident applies. For these services, billing will be done once the work has been completed. Billable tasks include any REDCap task that requires intervention by CRU staff.

  • The annual services charge will be billed quarterly in April, July, October, and January. All projects longer than 60 days in duration will incur this fee even if they are less than 12 months in duration. If the REDCap database is no longer required for the project, it is the responsibility of the project owner to contact the CRU to disable projects and avoid service fees.

  • The CRU can archive completed projects for a $250 data management fee per project per year. This fee will be implemented starting 1 Jan 2019.

  • When publishing manuscripts, the following language should be included in the Acknowledgement section of the manuscript: "Study data were collected and managed using REDCap electronic data capture tools hosted at the Clinical Research Unit, University of Calgary. REDCap (Research Electronic Data Capture) is a secure, web-based application designed to support data capture for research studies, providing: 1) an intuitive interface for validated data entry; 2) audit trails for tracking data manipulation and export procedures; 3) automated export procedures for seamless data downloads to common statistical packages, and 4) procedures for importing data from external sources."
